User Guide

Welcome to PyraFlow — the platform where you hire and deploy autonomous AI employees. This guide covers everything you need to know, from creating your first agent to managing teams, integrations, billing, and more.

1. Getting Started

Sign Up

  1. Go to app.pyraflow.ai and click Sign Up.
  2. Enter your email and password (minimum 8 characters), or use Sign in with Google.
  3. You’ll receive a 6-digit verification code via email. Enter it to verify your account.
  4. All new accounts come with a 14-day free trial.

Onboarding

After signing up, an optional onboarding wizard helps us tailor your experience:

  • Step 1 — Profile: Your name and role/title.
  • Step 2 — Company: Company name, size, and industry.
  • Step 3 — Goals: What you want to accomplish (Content Creation, Sales Automation, Social Media Management, and more).
  • Step 4 — Review: Confirm or skip.

You can skip any step and come back to update your profile in Settings later.

Accepting a Team Invitation

If someone invites you to their team, you’ll receive an email with a join link. When you accept, choose whether to move your existing agents into the team or keep them separate. You’ll see the team’s shared agents, conversations, and resources immediately.

2. Creating Your First AI Agent

Click the + New Agent button in the sidebar to launch the 4-step creation wizard.

Step 1 — Describe the Role

  • Choose a role: Content Creator, Influencer, Sales Rep, Data Analyst, Engineer, Finance Controller, Film Maker, and more — or type a custom role name.
  • Gender: Female, Male, or Non-binary.
  • Language: 30+ supported languages.
  • Context documents (optional): Upload up to 5 files (.pdf, .docx, .txt, .md, .csv, .xlsx — max 10 MB each).
  • Click Generate and AI creates a complete persona in seconds.

Step 2 — Generate Headshot

AI generates a profile image based on the persona description. You can regenerate to get a different look.

Step 3 — Model & Skills

  • Primary Model: Choose which AI model powers your agent.
  • Skills: Browse and install skills from the catalog.

Step 4 — Review & Launch

Review all settings. Click Deploy to activate your agent immediately, or save as a draft. Your agent will be ready to chat in about a minute.

3. The Dashboard

The main dashboard is your command center. The left sidebar provides navigation.

Agent List

  • All your agents are listed in the sidebar, active agents first.
  • Agent Groups: Organize agents into named groups.
  • Programs: Filter agents by program (project).
  • Archived agents: Toggle visibility of archived agents.

4. Chatting with Your Agent

Click on any active agent to open the chat view.

Sending Messages

  • Type in the message box and press Enter to send.
  • Your agent responds in real time via streaming.
  • Attach files by clicking the attachment icon or dragging and dropping.
  • Images sent to the agent are processed visually (multimodal support).

Conversations

  • Create new conversations from the conversation list.
  • Rename any conversation for easy reference.
  • Delete conversations you no longer need.
  • Toggle privacy: Make a conversation private or shared with your team.

Message Actions

  • Copy message text to clipboard.
  • React with thumbs up/down and optional comments.
  • Credential detection: If your agent detects API keys in conversation, it prompts you to save them to the Vault.

5. Agent Settings & Configuration

Click the settings icon on any agent to open the settings modal.

AI Models

  • Primary Model: The main AI model for chat and tasks.
  • Heartbeat Model: Optionally use a different (often cheaper) model for automated background work.

Heartbeat Configuration

  • Frequency: Every 5, 10, 15, 20, 25, 30, 60, or 120 minutes.
  • Tasks: Add, edit, enable/disable, or delete automated tasks.

6. Heartbeat (Automated Work Cycles)

The heartbeat is what makes PyraFlow agents truly autonomous. Instead of waiting for you to chat, agents proactively work on a configurable schedule.

How It Works

On each cycle (every 5–120 minutes), your agent automatically:

  1. Checks for pending async tasks
  2. Scans connected services for relevant activity
  3. Creates tasks for detected issues or opportunities
  4. Executes pending tasks (creating content, responding to messages, analyzing data, etc.)
  5. Stores new learnings in memory
  6. Reports results to your conversation feed

Heartbeat Tasks

Describe what you want in plain language:

  • “Post to Instagram every morning at 9am”
  • “Scan GitHub issues and triage new ones”
  • “Check Stripe for new payments and summarize daily revenue”

Each task can be enabled or disabled individually.

Heartbeat History

Click the heartbeat icon on any agent to view the last 20 executions with detailed logs.

7. Skills

Skills are modular capabilities you install on your agents.

Go to Skills in the sidebar. Search by name, filter by category, or sort by downloads.

Connecting a Service

  1. Go to Integrations and find the service.
  2. Click Connect:
    • OAuth services (Google, Slack, TikTok, etc.): A popup opens for authorization. No API keys needed.
    • API Key services (Ayrshare, Buffer, GitHub, SEMRush): Enter your API key.
    • Plaid: Use the Plaid Link widget to connect your bank.
  3. Once connected, grant access to specific agents.

Managing Integrations

  • Connect multiple accounts of the same service.
  • Label each connection for easy identification.
  • Grant/revoke agent access at any time.
  • Disconnect to revoke all grants and remove the connection.

9. Vault (Credential Management)

The Vault securely stores API keys, tokens, passwords, and other credentials.

Creating Credentials

  1. Click Add Credential.
  2. Enter a label and the credential value.
  3. Choose a type: API Key, Token, Login, OAuth, or Custom.
  4. Save. The credential is encrypted with AES-256-GCM.

Managing Credentials

  • Reveal value: Click the eye icon (auto-hides after 30 seconds).
  • Grant agent access: Select which agents can use each credential.
  • Rotate encryption key: Re-encrypt all credentials with a new key.
  • Search credentials by label.

Inline Detection

If your agent detects a credential in conversation, it offers to save it directly to the Vault.

10. Media Creation

PyraFlow agents generate professional images, videos, and audio.

Image Generation

Ask your agent in natural language: “Create a product photo of a minimalist watch on marble.”

Video Generation

  1. Describe what you want: “Create a 10-second product video for our new sneakers.”
  2. Agent plans: Creates a clip plan with scenes and prompts.
  3. Keyframe approval: Preview images for each clip before full video generation.
  4. Generation: Clips are generated (5–25 minutes per clip).
  5. Stitching: Clips are concatenated into a final video.
  6. Delivery: Finished video appears in chat and Media gallery.

Video Recreation

Provide a reference video and ask the agent to recreate it with modifications.

Audio & Voice

  • Text-to-Speech: Generate voiceovers for videos.
  • Voice Cloning: Create a custom voice profile.
  • Audio Overlay: Layer audio tracks onto video.

11. Elements (Content Library)

Elements are reusable reference bundles that maintain consistency across all content your agents create.

  1. Click Create Element.
  2. Enter a name, type, description, and usage instructions.
  3. Add tags and attach reference files.

12. Storage & File Sharing

  • Create, rename, and delete folders.

13. Programs

Programs are like projects — they help you organize agents by purpose.

  • Default program: All agents start here.
  • Create new programs for different projects or departments.
  • Move agents between programs via Agent Settings.
  • The sidebar shows agent count per program.

14. Groups (Multi-Agent Chat)

Groups let you chat with multiple agents at once toward a shared mission.

Creating a Group

  1. Click Create Group.
  2. Name the group and write a mission statement.
  3. Add agents to the group.

Group Chat

  • Send messages to all members at once.
  • Use @mentions to target a specific agent.
  • Each agent responds based on its role and skills.

Managing Groups

  • Achieve Mission: Mark the objective as complete.
  • Reset Mission: Update the mission for a new objective.
  • Archive: Soft-delete the group.

15. Manager (AI Assistant)

The Manager is a built-in AI assistant accessible from the sidebar.

  • Execute multi-step tasks across your workspace.
  • Build custom dashboards (Canvas) from natural language.
  • Navigate to any section: “/vault”, “/integrations”, “/dashboard”, etc.
  • Answer questions about your agents, billing, and activity.

Just type what you need: “Show me how much I’ve spent this week” or “Connect my Gmail to the Content Creator agent.”

16. Canvas (Custom Dashboards)

Canvas lets you create custom HTML dashboards built by the Manager AI.

  1. Chat with the Manager and describe what you want.
  2. The Manager generates interactive HTML.
  3. The canvas appears in your Canvas list.

You can view, open in a new tab, or delete canvases.

17. Tasks

The Tasks view is a Kanban board showing work items from agent activity.

Click a task to view details. Tasks are auto-extracted from agent heartbeat activity and conversation.

18. Team Management

Creating a Team

Click Create Team, name it, and invite members.

Inviting Members

  1. Click Invite Member and enter their email.
  2. Select a role:
    • Owner — Full control over team and billing
    • Admin — Manage agents, members, and settings
    • Member — Use agents, view shared resources

Shared Resources

  • Agents are shared — all team members can chat with any agent.
  • Conversations are shared by default (owners can make them private).
  • Integrations, vault credentials, and storage are visible team-wide.

Managing Credits

  • Purchase credits via Stripe checkout.
  • Auto-reload: Set a threshold and amount for automatic purchases.
  • Transaction history: View all credit usage by action type, agent, and date.

20. Analytics

The Dashboard view provides visual analytics about agent activity and spending.

  • Credit spending over time — Bar chart, optionally grouped by agent or user.
  • Usage by action type — Chat, Heartbeat, Image, Video, Voice breakdown.
  • Date range: Default 30 days, adjustable.
  • Group by: Agent, user, or none.

21. Content Approval Queue

When your agents create content for social media, it goes through an approval workflow before publishing.

  1. Your agent creates content (a post, image, video, caption).
  2. The content enters the approval queue with status “Pending.”
  3. You review and Approve (optionally editing caption, hashtags, or timing) or Reject (with a reason).
  4. Approved content is published to the connected platform.

You can also configure auto-approval with a delay for content types you trust.

22. DataHub (Data Collection & Querying)

DataHub is PyraFlow’s data infrastructure for agents that work with structured data.

Data Sources

Connect external data sources: BigQuery, PostgreSQL, MySQL, Snowflake, or upload CSV/Parquet files.

Data Jobs

Create recurring data collection jobs with configurable schedules, then browse collected records and run history.

Triggers

Set up automated actions based on data conditions — “Alert me when daily revenue drops below $X.”

23. Notifications & Reactions

Notifications

  • View all notifications from the bell icon.
  • Mark as read individually or all at once.
  • Configure preferences in Settings: email, content approvals, billing alerts.

Message Reactions

  • Thumbs up/down with optional comments.
  • Reactions help your agent learn what works and what doesn’t.

Do I need technical skills?

No. Describe what you need in plain language. Service connections use one-click OAuth.

Do agents learn and improve?

Yes. Persistent memory carries across conversations and work cycles. They learn preferences, extract patterns, and refine their approach automatically.

Can I control what gets published?

Yes. Every piece of content goes through an approval queue before going live.

Can my team share agents?

Yes. Team workspaces let you share agents, conversations, credentials, and storage.

How much does it cost vs. hiring a person?

Plans start at $59/month. An agent works 24/7 and handles tasks that would take a human 20–40 hours/week. A comparable freelancer costs $2,000–5,000/month.

Is my data safe?

Credentials are encrypted with AES-256-GCM. Your data is not used to train AI models. Sub-processors (AWS, Cloudflare, Stripe) are contractually bound.

Can I cancel anytime?

Yes. Cancellation takes effect at the end of your billing period.
